OneDrive

OneDrive tends to be the default in businesses that grew up on Microsoft: the accountant sends Excel, the letting agreement is a Word file, and the whole lot ends up in a OneDrive folder tree that mirrors the company rather than the properties.

Connecting it means ProhostAI can work with that structure as it is. Ask for a signed agreement and it finds and reads the file; ask what a clause says and it answers from the document instead of from a summary. Nothing needs migrating to a different store first.

Writes go the same way. A receipt, a photo from a contractor, a document the AI drafted for you — filed into the OneDrive folder your team already checks, with a link for whoever needs it next.

Once OneDrive is connected, ProhostAI works with it in plain language. There is no OneDrive screen inside the app.

• Search your files Find a document across the connected account without knowing which folder it went into. "Find the letting agreement for the Church Street flat."
• Answer from the file The AI opens the document and replies from its contents, including Word files and PDFs.

Create & update

• Upload and file Put an invoice, contract or photo into the folder it belongs in. "Save this contractor invoice under Maintenance 2026."
• Share a link Produce a OneDrive share link for an owner, a contractor or a colleague from the conversation.
• Organize folders Create folders for a new property and move files into the right place as things change.

OneDrive connects through Microsoft OAuth, so ProhostAI never sees your password and you or an admin can revoke access at any time.

1. Open ProhostAI and go to Settings → Connections.
2. Search for OneDrive and select Connect.
3. Sign in with the Microsoft account that holds your files and approve the permissions.
4. Ask for one of your documents to confirm the connection works.

• ProhostAI reaches only the Microsoft account you connect, with the permissions granted at sign-in. Revoking it in your Microsoft account settings ends access immediately.
• Files are read on request rather than copied, so a document updated in OneDrive is current the next time anyone asks.
• On a business tenant, an administrator may need to approve the connection before it can be used — the usual Microsoft 365 consent flow.
• OneDrive for Business and SharePoint document libraries are related but not identical. If your team files things in a SharePoint site, connect SharePoint as well.
