Overview

The usual failure is not that nobody was told, it is that they were told somewhere they were not looking. A flag raised in an operations tool competes with a Teams channel that has everyone’s attention all day, and loses.

Connecting Teams puts the message where the attention already is. ProhostAI posts into a specific channel with enough context to act on, so the person who sees it can decide without opening anything else. The AI keeps doing the routine work; Teams is where it raises a hand.

It works as an input as well: someone can ask ProhostAI a question in a channel — what is empty this weekend, whether a clean was confirmed — and get the answer in the thread they were already in.

What ProhostAI can do with Microsoft Teams

Once Teams is connected, ProhostAI works with your channels in plain language.

Read

  • Read a channel Pick up recent messages so the AI has the context a thread has already built.
  • Answer in the thread Reply where the question was asked rather than in a different tool. "Which properties turn over on Friday?"

Create & update

  • Post to a channel Send updates to the channel that owns them — cleaning to operations, bookings to the team channel.
  • Escalate for a person Flag what the AI should not close alone, while it still matters.

Setup

Teams connects through Microsoft OAuth against your tenant, and usually needs one administrator approval.

  1. Open ProhostAI and go to Settings → Connections.
  2. Search for Microsoft Teams and select Connect.
  3. Sign in with your Microsoft account and approve the permissions, including admin consent if prompted.
  4. Ask ProhostAI to post a test message to a channel.

Good to know

  • ProhostAI posts to the teams and channels the connected account can reach; it does not gain access to anything that account cannot see.
  • Most business tenants require a one-time administrator consent before the connection completes.
  • Connecting Teams does not move guest conversations into Teams. Those stay in ProhostAI’s unified inbox, where the AI has the full stay history.
  • An administrator can revoke the connection at any time from the Microsoft 365 admin centre.

FAQ

Do we need an administrator to connect Teams?

Usually yes — Microsoft requires admin consent for third-party apps on business tenants. It is a one-time approval, not a per-user step.

Can our team reply to guests from Teams?

Guest conversations stay in ProhostAI’s unified inbox, where the AI has the full history. Teams is for alerts, escalations and asking the AI questions.

Which channels can ProhostAI post in?

Those the connected account can reach. It cannot post into a private team it has not been given access to.

Can I control what gets posted?

Yes. You say what should reach the team and in which channel, rather than receiving one undifferentiated feed of everything.

How do I disconnect Teams?

Open Settings → Connections in ProhostAI and disconnect it, or have an administrator remove the app from the Microsoft 365 admin centre.
